The Sound of Silence: Retarus Launches Quiet Time for Email
London, New York, Sydney, 20 June 2012 // The German Federal Ministry of Labor and Social Affairs has reported a huge rise in absenteeism from work due to mental strain and illness. A major root cause of such conditions is stress that can be traced back to employers requiring staff to be available by email 24 hours a day via their smart phone or other mobile device. The Federal Minister for Labor and Social Affairs, Ursula von der Leyen (CDU), intends to counter this situation by calling on companies to introduce clear policies and guidelines to reduce employee stress levels resulting from permanent availability. Messaging specialist Retarus has also recognized the issue and is launching a new Quiet Time feature for its Managed E-Mail Services to help customers introduce and comply with potential new guidelines.
Employees are to be safeguarded against stress and other related illnesses caused by permanent availability via cell phone and email. Ursula von der Leyen is introducing an occupational health and safety act that will require companies to ensure that employees have sufficient leisure time. A non-representative survey carried out by Retarus also confirms the concerns put forward by the Federal Ministry of Labor and Social Affairs. One in three employees considers email availability outside of regular working hours to be a stress factor.
The impact of this move could already be seen back in December 2011 with media reports that Volkswagen AG had agreed to prohibit sending emails to mobile devices outside of core working hours. Email usage within a company can be limited by a works council or employment agreement, but this has no impact whatsoever when it comes to external email communication, meaning that employees often end up receiving emails from overseas business partners or business-related newsletters on their company smart phones despite internal policies.
No emails after work
This is where Quiet Time from Retarus comes into play, as it allows Managed E-Mail Services customers to define times during which external emails will not be sent to their employees’ end devices. After activating the Retarus Managed E-Mail Services Quiet Time function, emails are stored in the Retarus data centers and automatically delivered to the intended end device once the retention period has elapsed. This is a really simple way of complying with corporate email policies and works agreements such as those in force at Volkswagen AG.
“The initial appeal of email was being able to get in touch with people around the clock with very little delay,” said Bernhard Hecker, Product Management Director at Retarus, who added the following in relation to the advanced features of the Retarus E-Mail Services: “The key difference is that back then, emails only reached their recipient when they turned their computer on and went online. Nowadays people are constantly online thanks to mobile end devices such as BlackBerrys, smartphones and tablet PCs - meaning that they’re always in a position to receive emails.”
Quiet Time from Retarus is incredibly flexible as rest periods can be defined for individual recipients or groups of recipients in the Retarus EAS (Enterprise Administration Services) administration portal. That way support staff can remain available 24 hours a day and emails with a high priority can be allowed to pass through the filter so they can be dealt with as quickly as possible. Should the need arise, users can also press an “emergency button” so that their device retrieves all retained emails despite the Quiet Time feature being active.
