With the growing volume of sensitive patient data and the increasing reliance on digital communication, healthcare organizations face complex IT challenges and data security requirements. That’s why Beth Israel Lahey Health (BILH), a leading non-profit integrated health system, selected Retarus, a leading provider of cloud-based messaging solutions, to modernize its communication systems for scale and compliance while enhancing digital automation.

Since 2023, BILH has worked with Retarus to create a modern, scalable fax solution seamlessly integrated with Epic electronic health records (EHR), delivering real-time visibility into utilization and delivery performance while generating a measurable return on investment. Powered by Retarus Cloud Fax, the healthcare system realized substantial cost savings, streamlined critical workflows, and enhanced employee satisfaction.

“We have seen tremendous improvements since working with Retarus; not only have we saved millions of dollars associated with fax services, but we also reduced delivery failure rates, which resulted in improved compliance and overall operational efficiency,” said James Roeber, Director of Infrastructure Solutions at Beth Israel Lahey Health. "As we expand our Epic deployment, Retarus is ready to handle the increased volumes without a requirement to add additional hardware or lines, and we are looking forward to our continued work together.”

Through this collaboration, the teams focused on addressing the healthcare system’s outdated fax infrastructure by integrating Cloud Fax with BILH’s proprietary AI solution to identify and accurately route inbound information to the correct patient chart within Epic. BILH was able to achieve:

Reduction in Failure Rates: In the first year, the health system drastically reduced failure rates from 34% to 6%, seamlessly integrating with Epic. By the second year, the failure rate was reduced to 4%.
Cost Savings: Retarus Cloud Fax enabled an estimated telecommunication savings of $4 million, reducing the total cost of ownership while continuing to process nearly 2 million pages per month.
Improved Employee and Patient Experiences: Digital automation streamlines fax delivery, reducing manual sorting and enabling healthcare staff to spend more time on patient care and experience.

“The healthcare industry continues experiencing major shifts, from changes around insurance reimbursements and HIPAA to accelerating compliance requirements as fraud schemes become more prevalent,” said Jens Koch, Head of Product Management Messaging at Retarus. “Our work with BILH empowers the health system to lower costs and enhance both employee and patient experiences while ensuring critical processes operate reliably and securely during any periods of volatility.”
